Welcome to ChaseFlow. These Terms of Service ("Terms") govern your use of the ChaseFlow website at chaseflow.io and our invoice reminder automation services ("Service"). By using ChaseFlow, you agree to be bound by these Terms.
Please read these Terms carefully before using our Service. If you do not agree to these Terms, you may not use ChaseFlow.
1Service Description
ChaseFlow is a SaaS communication and automation tool designed for freelancers and small businesses. Our Service helps you follow up on unpaid invoices by:
- Sending automated reminder emails and SMS to your clients on your behalf
- Syncing invoice data from your accounting software (QuickBooks, Xero, FreshBooks)
- Providing a dashboard to track invoice status, chase schedules, and payment history
- Automating follow-up sequences based on customizable schedules
Important Clarification
ChaseFlow does NOT process, hold, or facilitate payments between you and your clients. We are a communication tool only. Payment processing happens through your own accounting software, payment processor, or directly between you and your clients. ChaseFlow simply sends reminders to help you get paid faster.
2Eligibility
To use ChaseFlow, you must:
- Be at least 18 years old
- Have a legitimate business — freelance, consulting, or other lawful commercial activity
- Have the legal capacity to enter into binding contracts
- Not be prohibited from using our Service under applicable laws
3Subscription and Billing
Monthly Subscription
ChaseFlow is a paid subscription service. You pay a monthly fee for access to the platform based on your selected plan (Starter, Growth, or Pro). Pricing is displayed at checkout and on our pricing page.
14-Day Free Trial
New users receive a 14-day free trial. You will not be charged until your trial period ends. You can cancel at any time during the trial without being charged.
Auto-Renewal
Subscriptions automatically renew each month until cancelled. You will be charged on the same day each month. If your payment fails, we will attempt to charge you again and may suspend your account until payment is received.
Cancellation
You can cancel your subscription at any time from your account settings. When you cancel, you will retain access to ChaseFlow until the end of your current billing period. Your subscription will not renew, and no further charges will be made.
Refund Policy
We do not provide refunds for partial months. If you cancel mid-cycle, you keep access until the end of your billing period but will not receive a prorated refund. If you believe you were charged in error, contact us at support@chaseflow.io.
4User Responsibilities
When using ChaseFlow, you agree to:
Provide Accurate Information
You must provide accurate and complete invoice information, including valid client email addresses, correct invoice amounts, and legitimate due dates. False or fraudulent invoices are strictly prohibited.
Use the Service Lawfully
You may only use ChaseFlow for legitimate invoice follow-up. You must not use our Service to harass, spam, or attempt to collect fraudulent or disputed debts.
Secure Your Account
You are responsible for maintaining the security of your account credentials. Notify us immediately if you suspect unauthorized access to your account.
Respect Client Relationships
You are responsible for your relationships with your clients. ChaseFlow sends reminders on your behalf, but you remain responsible for the accuracy of invoices and any disputes with clients.
5Communications on Your Behalf
Emails and SMS Sent on Your Behalf
By using ChaseFlow, you authorize us to send invoice reminder emails and SMS messages to your clients on your behalf. These communications will represent your business and include your business name and branding where applicable.
You are responsible for ensuring you have the right to contact the clients you add to ChaseFlow and that the invoices you create are for legitimate services rendered.
6Data and Integrations
Accounting Software Integration
ChaseFlow integrates with accounting software (QuickBooks, Xero, FreshBooks) via OAuth to sync your invoice data. When you connect your accounting software:
- We access invoice details (amounts, due dates, client info) to power our reminder service
- We act as a data processor, using your data only to provide the service
- You can disconnect your integration at any time from your settings
7Account Termination
Termination by You
You may cancel your subscription at any time from your account settings or by contacting us at support@chaseflow.io. Upon cancellation, you retain access until the end of your billing period, after which your account will be deactivated.
Termination by ChaseFlow
We reserve the right to suspend or terminate your account at any time if you:
- - Violate these Terms of Service
- - Use the Service for fraudulent or illegal purposes
- - Provide false or misleading information
- - Engage in abusive behavior toward clients or our team
- - Fail to pay subscription fees after multiple attempts
Effect of Termination
Upon termination, your right to use the Service immediately ceases. We will delete your data within 30 days of account closure, except where we are required to retain it for legal purposes.
8Limitation of Liability
To the maximum extent permitted by law:
- ChaseFlow is provided "as is" without warranties of any kind, express or implied
- We do not guarantee that the Service will result in successful payment collection
- We are not liable for indirect, incidental, special, consequential, or punitive damages
- Our total liability is limited to the subscription fees you paid to ChaseFlow in the 12 months preceding the claim
Some jurisdictions do not allow limitations on implied warranties or liability, so some of the above limitations may not apply to you.
9Indemnification
You agree to indemnify and hold harmless ChaseFlow and its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable legal fees) arising from:
- - Your use of the Service
- - Your violation of these Terms
- - Your violation of any third-party rights
- - Disputes between you and your clients
- - Inaccurate or fraudulent invoices you create
10Changes to Terms
We may modify these Terms at any time. When we make changes, we will:
- Update the "Last updated" date at the top of this page
- Notify you via email for material changes
- Give you reasonable notice before changes take effect
Your continued use of ChaseFlow after changes become effective constitutes acceptance of the revised Terms. If you do not agree to the new Terms, you must stop using the Service and cancel your subscription.
11Governing Law
These Terms shall be governed by and construed in accordance with applicable laws, without regard to conflict of law principles. Any disputes arising from these Terms or your use of ChaseFlow shall be resolved through good-faith negotiation, and if necessary, through binding arbitration or in the courts of competent jurisdiction.
